Privacy Notice

Under Data Protection legislation the Charity Trustees of Tewkesbury Baptist Church are the Data Controller and can be contacted at dataprotection@tewkbaptist.org.uk.

We are collecting this information to enable the church to keep in touch with you and provide pastoral support, send newsletters, other church information as appropriate, or regarding your lease of space in the car park or regularly hire a room in the building. Data Protection legislation allows us to process this information as we regard it as being in the church’s legitimate interest.

Your name and contact details will be entered into a church database which is held on the church computer system and is password protected. Any hard copy of this information will be in a locked cabinet. Both the database and cabinet can only be accessed by authorised church officers. Your contact details will be removed from the database once you are no longer a member of the church fellowship – unless you ask to remain as one of our church ‘friends’, or when you relinquish your lease of a car parking space or cease to be a regular hirer of the building. The only exception to this is that, when you have donated money, we will retain records associated with your name and address for a period of six years from your final donation to comply with our legal obligations under accounting law.

If you are a member of the church Fellowship or Church ‘Friend’, we would like to include your name and contact details in our Church Directory which will be distributed by email to all those associated with the church fellowship and in hard copy as appropriate. A copy will also be kept in the church office. We will not give copies of the Church Directory to anyone else. If you are happy for your details to be included please indicate where asked to do so below. You can ask for your details to be removed at any time. Also we have requested your date of birth and any children under 16 years so that we can celebrate your birthday with you on the appropriate Sunday. This information will not be used for any other purpose and will be kept in a secure location.

We would also like to take photographs of you (and your family) in a church context for use on the who’s who board, noticeboards, website, or for use on our internal televisions demonstrating life in our church family. Again please indicate your consent on the form below. You can withdraw your consent at anytime.

To enable us to provide adequate pastoral support to you and your family, one of the elders or children/youth leaders may record information which may be regarded as sensitive.  If this information is stored on the church computer system, access restrictions will be used to ensure that only the relevant church officers have access to it. This information will NOT be disclosed to anyone else without your consent.

You have the right to ask to see any information we hold about you (including the pastoral support information) by submitting a ‘Subject Access Request’ to the Administrative Leader. This service is provided free. You also have the right to ask for information which you believe to be incorrect to be rectified.

If you are concerned about the way your information is being handled please speak to the Church Leadership. If you are still unhappy you have the right to complain to the Information Commissioners Office.
